5 Communication Habits That Could be Holding You Back

Although we’re beginning to see more opportunities for face-to-face interaction, the print and promotional product industry still lives in a world of primarily email, instant chat and social media. With that, comes an abundance of miscommunication and generational gaps that can result in mistakes, confusion and unintentional animosity. While this list is just the tip of the iceberg, a handful in particular stand out. Allow me to air my grievances:  

1. Replying “K.”
For people under the age of 35, this is an act of aggression. Alright, alright…maybe that’s an exaggeration, but I’ve realized this is a major generational difference. For most Millennials and Gen Z, responding with just “k” (rather than okay), is an unspoken way of communicating anger or annoyance. If you’re on the younger side, it’s a good reminder to not assume the other person means it negatively.

2. Leaving long voicemails (and depending on demographic, leaving them at all)
Another generational difference, but most younger people don’t listen to or enjoy voicemails. Even if the recipient doesn’t mind them, keep messages short and to-the-point. Or…just send an email or text asking to connect.

3. Using unnecessary question marks
This needs more explanation, so let me give you an example:

I haven’t received this sample???

This is structured as a statement but uses question marks to indicate confusion. It only implies your request rather than actually making one.  Even if you don’t mean it, it can come across as passive aggressive. For a more direct, professional approach, try:

I haven’t received this sample. Could you please provide an update?

4. Apologizing too much
Using minimizing language like “sorry” (when it’s unwarranted) and “just” (making yourself smaller to minimize your presence) can be detrimental to your messaging and credibility. An example of a weak approach looks like:

Hey, sorry to bug you. I just wanted to check in on this.

Don’t be ashamed of upholding accountability and showing confidence. Pivot your approach:

Hey, can I get an update on the status of this project?  

5. Burying requests in a paragraph
Ever have trouble getting what you need from people even though you thoroughly explained your requests? It might be that you’re burying your needs in a long-winded paragraph (or several). Be concise and clearly outline your needs. If you have several requests, highlight, bold and/or use bullets to ensure they get the attention required. If you write a novel, people will skim it.  

Communication is one of your most powerful tools in business – and in life. What makes it so exciting is also what makes it challenging; the rules are constantly changin. We can’t control the actions of others, so power lies in our ability to learn and adapt to the needs of those around us. It will never be a perfect science, but enlisting evolved, strategic communication skills can help transform your business, relationships, and productivity.
